Position Management

Position Management — or how we define and manage our workforce structure and roles — can be controlled and restrictive, or it can be flexible. Position Management capability is built to keep pace with our fast-moving and evolving organization, enabling easy reorganization and transfer of positions. Positions can be used for budgeting and headcount management by allowing users to:

  • Track default compensation and cost information on unfilled positions
  • Freeze or unfreeze positions in accordance with business needs
  • Compare against headcount plans

Workday offers us multiple methods for reporting on both filled and unfilled positions.

Position Management provides control over hiring and gives UF the ability to define separate hiring rules and restrictions for each position. It requires that an open, approved position exists before a manager can hire, promote, transfer or demote workers. It is used when an organization needs to define each position narrowly based on its hiring location, job requirements and current needs, which are subject to tight hiring controls. Position Management allows for budgeting by position, and it also supports commitment accounting for filled or unfilled positions.

Position Management offers greater control to:

  • Track and report open positions and headcounts
  • Freeze open positions for hiring
  • Track position histories
  • Tie requisition fulfillment to specific positions
  • Share position details between recruiting
  • Define restrictions by position
  • Add Costing Allocations and budgeting by Position
  • Move positions between organizations
  • Temporarily share or swap positions
  • Keep role-based security with the position
