Preparing for Summer 2027: The “Freeze” Calendar
The Empowering UF Project Team is working with leaders across UF to anticipate and address the necessary “freeze” times during which some resources and tools will not be available. We’re working to minimize and work around disruptions. We will proactively share more about these plans in the weeks ahead. Please check back, thank you.
What is a freeze and are there exceptions?
For every transaction, there will be a freeze period when no changes can be made in the legacy system. If you have been through fiscal year-end close, you know the pattern. No freeze or exception dates are final yet. Watch for the approved calendar from the Empowering UF Project team in the coming months.
For the last day to do something in PeopleSoft:
- A stop date, not an outage
- PeopleSoft stays up. A specific transaction stops there on its freeze date, then picks back up in Workday after go-live.
- It lets us copy the data cleanly
- Workday is loaded from a snapshot of PeopleSoft. We cannot take an accurate snapshot while the data is still changing.
- Staggered not all at once
- Different transactions stop on different dates, mostly in May and June, based on how long each one takes to move.
There will be exceptions and they will be named in the official cutover plan, e.g., pay-impacting transactions that arise unexpectedly (Compensation increase, a new hire, a new termination, or other activities that have an impact on the last Payroll run). Exceptions will be a “catch-up” in Workday after go-live.
